Dec 10 3rd Annual Pot Luck Christmas Party at the Observatory 6 p.m.

Note: Nov 22 is slated as an orientation evening to help all members become familiar with the technical improvements that have been instituted over the last several months. Come out and learn how to operate the overhead projector, run a power point presentation, project a live image from the dome telescopes into the classroom, use the VCR to play a tape visible on the classroom wall, or operate the laser pointer. See how you can use the viewing area pier wiring to power your telescope, or operate it remotely from inside the building. Take a peek at the results of Wayne’s mirror grinding seminar. Tweak your skills on the operation of the big scope, 8” Celestron, or the 10” Dob.

8. Director’s Reports
Newsletter – Gil is requesting items for the November newsletter showing the lighter and humorous side of Astronomy. Deadline is Nov 12.

Public Awareness – Rod represented the club at a display set up in the 5th Avenue Post Office. The presence of the club dovetailed nicely with the launch of Canada Post’s Astronaut Series of postal stamps. Rod was amazed at the number of people that are still not aware of the existence of our club, and is advocating that more members become involved in tours and open houses, and that the club become more aggressive in it’s efforts to advertise it’s existence. As the treasurer, Rod sees the tours and open houses as an important source of revenue that would be used to defray the day-to-day costs incurred operating the observatory.

Open Houses and Tours – As an aside to the previous item, there has been a considerable amount of positive feedback from the visiting public. Our PowerPoint presentations, lectures, and use of the laser pointer are becoming very polished and professional.

Summary of Executive meeting held September 10, 2003 and opened to discussion.

Treasurer’s Report
Revenue: $ 23331.86
Net Income: $ 18498.67

General Business
The first grant of $7500 has been spent. Purchased items included:
$3966.88 Projector, laptop, video card and CDROM for the classroom computer.
$3500.00 Allocated to covering operating expenses for the next several months.
$33.12 Balance

The second grant of $8400 was allocated/spent as follows:
Property and Safety Improvements which include extending the sidewalk, installing a locking gate, establishing 4 telescope piers c/w AC power and communication cabling, upgrading the viewing area surface, improving the parking lot surface, and adding additional exterior lighting.

  • Allocated: $6000
  • Spent: $4252.46
  • Unpaid bills: $450 approximately
  • Outstanding work: Exterior lighting
  • Balance to date: $1747.54

Main Scope Upgrade
$400 of allocated funds has not yet been spent.

Unallocated Funds

  • $2000 was unallocated at the time the grant was received.
  • The light barrier will not be constructed. Blocking the parking lot with vehicles at the front of the building has proven effective in preserving night vision in the viewing area. A sign stating that no white light is permitted beyond the blocking cars will be mounted on a sandwich board.
  • The existing grassed area will be augmented with an application of seed.
  • The existing aluminum ladder will be replaced with a 6’ wooden ladder.
  • Based on the marked advance and the decreasing cost of imaging technology, Bob’s ST9 CCD camera will not be purchased. Plans are being formulated to mount the orange 8” SCT to the main scope, and equip it with technology that will allow live images to be projected on the classroom wall.
  • A 100mw laser pointer will be purchased. Safety protocols will be established.
  • Implementing live image projection and the purchase of the laser pointer will enhance public viewing and fall in line with the mandate of public service, instruction and education.
  • The remaining $33.12 from the first grant and unused funds from the $6000 allocation will be used to purchase the sign, grass seed, ladder, and laser pointer. Any remaining balance from the $6000 allocation will be put towards the imaging equipment. If necessary, a portion of the unallocated funds will also be used for the imaging hardware.

Purpose

To prioritize disbursement of the $7500 gaming grant.

Motion to allocate $3500 for the operating expenses of the club. These expenses are insurance, BCHydro, Telus, and BCGas.

Motion to allocate $2811,40 + applicable taxes to purchase an InFocus LP 250 LCD projector.
Moved: Brian Seconded: Wayne Carried

The remaining funds are set aside for additional equipment required to install the projector, and other improvements to the observatory. Said funds are to be spent within one year of them being deposited to the gaming account.

Treasurer’s Report

General Business

  • A first aid kit has been mounted on the wall by the “kitchen” area of the classroom.
  • Two lighting fixture companies have replied to Maurice’s letter.
  • Update on the ‘To Do List”. The dome floor tiles have been repaired, clutter has been removed, and 3 loads of gravel were spread out on the driveway. Some painting has been done.
  • The new hand controller has been installed and the RA drive hooked up to it. It works quite well.
  • We need to pump out the holding tank after the Guide visit on June 14. The receipt must be handed in to the regional district by June 30.
  • A Katimavic group will be coming to the Lunar Eclipse open house on May 15.
  • Brian has a Lunar Eclipse presentation ready to give at the Open House on Thursday.
  • Measurements will be taken to see if the kitchen can be moved to one of the rooms off the main hallway.
  • Wayne will set up a mirror grinding station in the basement.

1. Previous Meeting Minutes
Meeting minutes from April 16, 2003 were circulated

2. Treasurer’s Report
Revenue: $4027.62
Net Income: $83.95

  • $212 in dues owing from RASC National for February 2003. Rod has notified them.
  • We need to send a cheque to RASC Okanagan Centre paying them the dues of a member who accidentally joined our Centre.
  • $80 donated by 2 members to pay for the remaining calendars.
  • Brian donated the first Internet bill from ABC Communications – $1.64
  • Calendar sales – sold 2 calendars at cost ($7.50 each)
  • Glen donated a water bottle to the club.
  • Brian bought a water bottle for the cooler, assorted chips and 2 cases of pop for observatory to resell. The bill came to $29.88. $15.00 came from calendar sales for the club (see above) and Brian donated the other $14.88.
  • Maurice donated US$50 for entry into the International Dark Sky Association.

3. Correspondence
None, as the mailbox hasn’t been checked recently.

4. General Business

  • Maurice has purchased a first aid kit for the club. It will be mounted on the wall by the “kitchen” area of the classroom.
  • Two lighting fixture companies have replied to Maurice’s letter.
  • Update on the ‘To Do List”. The dome floor tiles have been repaired, clutter has been removed, and 3 loads of gravel were spread out on the driveway. Some painting has been done.
  • The new hand controller has been installed and the RA drive hooked up to it. It works quite well.
  • We need to pump out the holding tank after the Guide visit on June 14. The receipt must be handed in to the regional district by June 30.
  • A Katimavic group will be coming to the Lunar Eclipse open house.
  • Brian has a Lunar Eclipse presentation ready to give at the Open House on Thursday.
  • Measurements will be taken to see if the kitchen can be moved to one of the rooms off the main hallway.
  • Wayne will set up a mirror grinding station in the basement.

Meeting Called to Order at 7:48 p.m.

1. Previous Meeting Minutes
Summary of Executive meeting held April 16, 2003 and opened to discussion.

Treasurer’s Report
Revenue: $ 3417.14
Net Income: $ 36.91

General Business

  • The first motor drive (RA) has been installed and is working well. The power supply modification has been done. Wayne is working towards integrating the RA and DEC controls onto one hand paddle.
  • Maurice provided detailed cost estimates to extend the sidewalk to the north ($520), construct an elevated observation deck ($11,032), add gravel to the existing driveway ($1429), add a new parking lot to the east of the existing parking area ($1959), paving costs for the existing driveway and parking lot ($4730), and paving costs for the new parking lot ($2198). Maurice will come up with a cost estimate to deaden the sound in the classroom.
  • Maurice presented a draft letter encouraging selected businesses associated with Dark Sky lighting products to have their website links on our web site. Wayne has expressed an interest in grinding mirrors.
  • Gil and Maurice have drawn up a ‘To Do list’ itemizing work to improve the appearance of the observatory.

  • The job list will be posted in time for the work bee on Saturday May 10.
  • Maurice has sent letters to LPA fixture manufacturers asking them to support our observatory and LPA projects. Results have been encouraging.
