General Meeting Minutes

Meeting Called to Order at 7:38 p.m.

1. Previous Meeting Minutes
Summary of Executive meeting held Feb 12, 2003 and opened to discussion

Treasurer’s Report:
Total Revenue $3086.32
Net Income $256.00

  • The moldy ceiling has been repaired.
  • Beefing up the building security is nearly complete.
  • Not all members have received their Sky & Tel magazines.
  • Calendar Sales: We have sold 101 and brought in $1545.15 of which approx. $750.15 is profit. We have 24 calendars left which we will try to sell but will only pay for what we sell and send the remainder back in a few months.
  • Gil is in charge of organizing the trip to the RASC General Assembly. Date: June 26 (Thursday) – July 01 (Tuesday), 2003 in Vancouver, British Columbia
  • So far this year, 2 tours have been conducted

3. Correspondence
Various RASC emails regarding council reports, Kingston Centre wants a copy of our Constitution to help revamp theirs. Gregory Mohammed, President of the UNBC Physics club wants to discuss collaboration between our groups.

4. Old Business
Wayne has greatly improved the tracking of the scope drive.

5. New Business

  • The subject of fundraising was discussed, with James and Maurice offering suggestions. Brian will organize a garage sale. For details, see his message below, call him at 250 5644789 or email him at blbattersby@shaw.ca.
  • As you probably know the Astronomical Society is always low on the cash necessary to keep it operating. As a fundraiser we are going to host a Garage Sale on May 24th and 25th. You have two options for the sale of your items:
  • 1) You can simply donate the items and all the money from their sale will go directly to the club. Please mark the item with a price – see drop off instructions below.
  • 2) Mark your asking price and initials on the items to be sold. We will keep track of the items sold and give you a cut of the sale of your items based on the following formula. NOTE: In order to maximize the sales we will accept a reasonable amount of haggling by the customers.
  • Under $50 – split 50 / 50
  • Over $50 – 25% to the club.
  • Please drop off the items you wish to sell sometime between now and March 22 to Brian at SpeeDee Printers in the Copy Centre (5th and Brunswick store). If you do not mark your initials on the items we will assume it is a donation to the club. If you have a lot of items or a large item please drop them off at Brian’s house. 4556 Bauch Ave. (between 1st and Tabor and 1st and Foothills. Turn off 1st onto Claxton Crescent then onto Bauch Ave.)
  • If you have any items left unsold you will be contacted to pick up them up. If they are not picked up, or you donated them, they will be disposed of in an appropriate manner (thrown out or put in the swap shop). Any money owed to you from the sale of your items will be given to you at the May General Meeting. If you are not present a cheque will be mailed to you.
